Assistant Director-Spark Museum

Spark: The Museum of Electrical Invention, a Whatcom County non-profit organization located in downtown Bellingham, WA is seeking an Assistant Director. The Assistant Director provides general support and assistance to the President to maintain continuity of the Museum operations and to ensure that it functions efficiently and effectively on a daily basis. The Assistant Director helps to maintain continuity between the President’s strategic focus and the daily operational needs of the Museum. Responsibilities of the Role include: 1. Operations: Regularly meet with staff to oversee coordination of all Museum functions and services. Provide oversight and support as needed. Develop policy and procedure, negotiate vendor contracts, maintain corporate relationships and museum licenses, subscriptions and memberships. 2. Personnel: Hire, train and mentor staff. Oversee staff performance and goal setting. 3. Finance: Ensure the proper execution of the Museum budget by assisting the President in developing and supervising the annual budget and related forecasts and by maintaining and/or tracking all museum financial records. 4. Accounting: Responsible for accounts receivable and accounts payable. Work with Accountant to ensure payroll and all tax liabilities and reporting requirements are in compliance. 5. Development: Work with Board to 1) identify and secure grant opportunities and management grant funds, 2) increase membership, and 3) plan and coordinate annual fundraising event. 6. Collections: Administrative management of collections which includes accession, storage, deaccession, disposition and conservation. Supervisory Responsibilities: Direct oversight and supervision of the Museum staff (currently the following positions): 1. Director of Operations 2. Program Coordinator Qualifications: • Bachelor’s degree in Accounting, Business Management, Museum Studies or related field • A minimum of five years in positions of progressive responsibility in office management, business management, not-for-profit management or museum management is required. • Strong organizational skills • Strong computer skills including the Microsoft Office suite. Familiarity with cloud services such as Dropbox and Google Admin is a plus. • Supervisory and leadership skills to operate a 6-day per week operation • Strong written and verbal communication skills, ability to serve as an articulate spokesperson for the Museum • Experience in a collection base science or history museum is preferred. • Experience in development and fundraising, including grants as well as corporate and private donations; demonstrated ability to develop partnerships and identify creative solutions • Financial record-keeping skills with capability of near error-free accounting and outstanding attention to detail • Evidence of success in strategic planning, budget planning and administration • Ability to think about problems, develop solutions and resolute in their implementation Physical Requirements/Work Environment Works daily in a typical office setting, although this exempt position may require some weekend or evening work, including participation in museum events. Supervision responsibility of the 6 day a week operation of Museum may require remaining on-call during non-office hours. Requires standing, sitting, bending and reaching. May require lifting up to 50 pounds, if necessary, to assist in setting up museum exhibits, maintaining museum collection, rearranging collection and office space, preparing museum for special events and programs. Hours and Compensation This is a full-time, salaried position. Work hours are typically 8am-5pm Tuesday-Saturday, but some flexibility will be required to operate a 6 days per week operation.
