Part-Time/Full-Time Client Service Administrator

The CSA provides direct, proactive administrative assistance to an assigned group of Relationship Owners (ROs) and those performing projects on their behalf. Their primary objectives are to: • Maximize the efficiency of the accounting professionals they support, as well as their office and our firm as a whole • Build positive rapport with our clients and aid in the cultivation of strong client relationships • Ensure the presentation and delivery of a quality product through the consistent execution of firm policies and procedures and their own initiative Responsibilities Job Management and Due Date Monitoring • Job lists and Ad hoc report production • Working with ROs to ensure accuracy of data Management of data in job management system (PE) • Client set-up and inactivation • Job rolling and completion of jobs in PE Client data collection, filing, and delivery • Scanning documents • Experienced with various Accounting and Document Retention Systems, including but not limited to Engagement, ProSystem, and iChannel • Financial statement formatting and e-delivery • Delivery of all client deliverables (physical and electronic) • E-filing and e-file authorization follow up Client correspondence • Reminder letters, tax organizers and agreement letters, IRS correspondence • Phone contact when appropriate or directed • Client set up and document transfer via secure portal Scheduling and calendar management • Confirm and make client appointments • Meeting setup and preparation • Conference room, restaurant or off-site reservations • Facilitates creation of agenda; Assembles needed documents • Familiar with LiteShow and conference call procedures General office phone reception and lobby management • Mail distribution • Email management upon request • Other projects as assigned Minimum Education and Experience Requirements • Requires graduation from high school or equivalent • Minimum of two (2) years of increasingly responsible administrative work • Intermediate to advanced-level experience with Microsoft Office products (Word, Excel, Outlook); Comfortable learning new software; Database skills a plus • Superb verbal and written communication skills. • Positive and friendly with a service-orientated focus. • Excellent task management and organization skills. Physical and Work Environment Physical Environment: This position generally involves continuous sitting, frequent standing, frequent walking, light lifting and carrying (up to 15 pounds), frequent bending and reaching, keyboarding and use of telephone and other office equipment. Manual dexterity is required to operate keyboard with skill, speed and accuracy. Work Environment: The duties and responsibilities are generally performed in an office environment with minimal hazards. Travel: Infrequent
